How to Write a Job Description with AI: A Safe Malaysian Workflow

Generative AI can improve structure and clarity. It cannot decide what your organisation needs, whether a requirement is necessary, or whether the process is fair. The practical workflow below is designed for Malaysian SME owners, hiring managers and HR teams.

Start with the role, not the prompt

An AI tool can draft attractive wording in seconds, but it cannot discover why your organisation needs the role. Begin with the work: the problem to solve, the outcomes expected, the essential tasks, the actual conditions and the person authorised to approve the vacancy. If those inputs are vague, the model will often fill the gaps with familiar requirements that sound normal but may be unnecessary.

For a Malaysian SME, this discovery step can be short. Ask the hiring manager what will remain undone, what success should look like after 90 days, which tasks occur every week and which skills can be learned after joining. Record unknowns instead of guessing. The goal is a role success profile that the manager and HR owner can approve before any advertisement is generated.

Use a closed-source prompt

Give the model only the approved profile and instruct it to preserve the facts. Do not use age-coded terms, appearance requirements or culture fit as shortcuts. Describe observable behaviour. Clear written customer communication is assessable; young and energetic is not a job skill.
